Concerts and Projects Manager

Philharmonia Orchestra £25,000 - £28,000, according to experience Closing date 16 March 2020
The Philharmonia Orchestra is seeking a Concerts and Projects Manager to administer the Orchestra’s Royal Festival Hall Own Promotions Season and related areas of activity. Responsibilities will include preparing schedules for artists appearing with the Orchestra, liaising with the Orchestra’s Southbank Centre Event Manager, providing administrative support for advance programming and drawing up artists’ contracts.

ROLE AND RESPONSIBILITIES
• Arranging conductors’ rehearsal and performance schedules for periods of work linked to the Royal Festival Hall Own Promotion Season; liaising with artists’ agents to discuss details such as string strengths and rehearsal orders
• Preparing and distributing the Orchestra’s monthly schedule using the online diary system; issuing subsequent amendments
• Making availability checks for conductors, soloists and choirs for Own Promotions concerts and associated projects, as directed by the Director of Artistic Planning
• Issuing artists’ contracts, as directed by the Director of Artistic Planning, and keeping artists’ fees documents updated
• Registering repertoire in Southbank Centre’s clash system, and updating the online diary system accordingly
• Attending Southbank Centre Operations Meetings and acting as the main point of liaison with Southbank Centre staff regarding operational aspects of the Own Promotions Season
• Acting as liaison person for BBC Radio 3 with regard to broadcast Own Promotion concerts
• Managing aspects of the Orchestra’s in-house recording programme for concerts recorded live at Own Promotion concerts: acting as a liaison point between artists, orchestral players, Southbank Centre and the recording team (producer and engineers)
• Acting as a key liaison point for colleagues in the Marketing Department with regard to Royal Festival Hall concert programmes and brochures
• Arranging UK Certificates of Sponsorship as required for artists and other relevant personnel in respect of periods of work linked to the Own Promotions Season
• Compiling detailed internal briefing notes before each patch of work involving an Own Promotion concert or concerts
• Coordinating the Orchestra’s Royal Festival Hall Chamber Series, as directed by the Director of Artistic Planning and Philharmonia Chamber Players Committee, with support from the Concerts Coordinator
• Working on the Orchestra’s Music of Today Series, as directed by the Director of Artistic Planning and supported by the Concerts Coordinator
• Applying for child licenses or Body of Persons Exemption when working on projects involving performers of statutory school age
• Overseeing the Concerts Department Coordinator in booking UK rehearsal halls and in keeping the online diary system updated with rehearsal hall bookings
• Overseeing the Concerts Department Coordinator in making hotel reservations and car bookings for artists, as required
• Overseeing the Concerts Coordinator in completing Southbank Centre technical riders
• Attending all Own Promotion concerts in the Royal Festival Hall; attending rehearsals as required
• Attending and acting as liaison person for early evening performances and pre-concert talks in the Royal Festival Hall, as required
• Undertaking such other duties as may reasonably be required by the company
