Concerts Officer

Oxford Philharmonic Orchestra £27,000-£33,000 Closing date 03 November 2025
The Oxford Philharmonic Orchestra, one of the UK’s leading orchestras, seeks a highly motivated Concerts Officer to take care of logistical arrangements for the Orchestra’s concerts, rehearsals and special events, as well as for the annual Oxford Piano Festival. The Orchestra performs regularly in Oxford and London and has an expanding touring programme overseas.

The chosen candidate will work with the COO, other Directors, the Planning and Logistics Team and the Orchestra Personnel Officer.

This is a permanent, full-time role. The position is based in our London office, but travel to Oxford (on average 2-3 times a month) will be required. Some evening and weekend work will be necessary for attending concerts The holiday entitlement is 20 days plus 8 bank holidays.

Candidate must have the right to work in the UK.

Principal responsibilities:
• Liaising with concert/rehearsal venues about timings, stage set-up, parking and back-stage & FOH requirements
• Creating stage plans, risk assessments and technical riders
• Organising pianos & other keyboard instruments hire & tunings & tech equipment hire
• Liaising with artist managers, dealing with soloist requirements, visas, travel and accommodation needs, and organising riders where applicable for our orchestral concerts and annual Piano Festival
• Creating schedules for each concert/rehearsal date and organising everything required to take to each concert
• Liaising with OPO’s stage manager and van driver regarding all concert/rehearsal dates
• Creating monthly invoices for the freelance Stage Manager and Front of House
• Managing the Events section of the office database alongside the Planning & Logistics Officer to ensure that all event information is up to date
• Act as the venues’ and soloists’ main contact for the orchestra at concerts and carry out any other duties as required to ensure the smooth running of events
• Attend concerts, events and rehearsals as required
• Assisting in the preparation of the Orchestra’s touring projects alongside the Orchestra Personnel Officer including booking group flights and accommodation, organising instrument hire (such as double basses and percussion), helping with musician visa applications (a freelance Tour Manager may be appointed for larger scale and/or non-European touring)
• Completing the Orchestra’s quarterly Foreign Entertainers Unit withholding tax declaration and apply for FEU4s when applicable
• Liaising with the Artistic Planning Manager regarding any practical limitations for concerts in future seasons
• Any other duties as required

Essential abilities/qualifications:
• Excellent organisational skills and meticulous attention to detail
• Good communication skills and ability to demonstrate that you are a good and willing team player, with the necessary interpersonal skills to liaise with agents and visiting artists
• Good IT skills and experience using Microsoft Office software
• Ability to juggle multiple tasks
• Ability to work under pressure

Desirable abilities/qualifications:
• Proven track record of concerts experience, but candidates with no relevant background may also apply

Salary £27,000 - £33,000 dependent on experience
