ABOUT THE ROLE 
Intermusica seeks an experienced administrator, to join our renowned Artist Management department in a newly created role. The successful candidate will be highly organised, resourceful, tenacious and play a leading role in the team supporting our Artist Managers and their rosters of world-class artists. In particular, the role includes working with the distinguished vocal group The King’s Singers in their worldwide touring and recording activity, alongside a number of other artists. Depending on experience, the candidate may also take a leadership and training role within our team of administrators. This is a perfect opportunity for someone already experienced in arts administration/management looking to take their responsibilities to the next stage, working at the highest level worldwide. Equally we are open to applications from those with relevant experience in other sectors. As a member of a busy team, liaising with top international artists and promoters on a daily basis, the responsibilities include but are not limited to:

CORE RESPONSIBILITIES
Administer artist diaries, liaising with a variety of external contacts (including promoters, venues, other artists and agents) to arrange logistical aspects of engagements through to their completion.
Oversee initial checking and prompt processing of contracts.
Keep up-to-date artists live online diaries and, where necessary, produce detailed schedules for artists, and ensure that they have all the required information to fulfil their commitments. 
Assist with processing visa and work permit arrangements as required. 
Coordinate stage plans, instrument lists, technical riders and other requirements.
Work with the finance team to prepare financial paperwork (invoices, statements etc.) and to ensure prompt payments to artists and to Intermusica, as well as request tax certificates where necessary.
Develop understanding of media rights, coordinating agreement of rights with recording companies if necessary. 
Work  with  Intermusica’s Communications & Marketing department on a variety of promotional materials, keeping clients’ pages on the company’s website up-to-date with concert listings, recordings, reviews and other digital assets.
Collaborate with recording companies, local agents, PR agencies to coordinate promotional activity.

Additional: 
Attend concerts and industry events on behalf of Intermusica, as required.
Develop and maintain a thorough knowledge of artists’ careers and the promoters that we deal with. 
On occasion organise travel/hotel/meetings/concert tickets for Artist Managers as required.

PERSON SPECIFICATION 

REQUIRED/ESSENTIAL
Graduate level or equivalent qualifications/experience.
Prior administrative experience in one or more arts/cultural organisation or in other sectors including logistics, diary and project management.
Excellent written and verbal communication in English.
Resilient and calm under pressure, with the ability to multitask, deal with conflicting priorities and communicate effectively in a frequently fast-paced environment.
Team player who builds trust by being solutions-focused and accountable for their work.  
Ability to work to deadlines and with an excellent eye for detail. 
Proactive and able to demonstrate a positive and flexible approach. 
Reliable, conscientious and highly organised. 
Good IT skills, particularly Microsoft Office. 

DESIRABLE
Previous experience organising international travel and diary management.
Experience of financial administration.
Knowledge of choral/a cappella music, and classical music more generally.
Working knowledge of other modern languages.
Prior experience of Overture (agency software).

We are looking for someone based out of our London office but, for the right candidate, other locations could be considered.
